How do I deal with Head-Office of Branch Accounting in MYOB?
Quite often businesses will deal with customers that have a head office that gets billed. This can cause issues with regards to how you allocate payments to all the different customers from one cheque and how you send statements.
When a business deals with a large retail chain such as supermarkets (Foodstuffs and Progressive Foods) you will be required to send a statement to the head office. Within MYOB there is not a straightforward way of doing this.
One way that businesses have gotten around this is to use the multiple "ship to" address fields on a card so that for the one group e.g. Foodstuffs you may have five different addresses that can relate to different supermarkets. However this is limited to five.
There will be a way around this soon with an add-on that is coming out in the next couple of months, this takes advantage of the custom lists that MYOB has available for the customer cards.
You can set in MYOB one of the custom lists for customers to relate to a head office. for example you could have CustomList1 fields relating to the head office customers you have such as Foodstuffs. You then go into your cards and assign customers to this list if they belong to this group.
Using the EasyPayments addon with your MYOB software
Soon you will be able to use an addon called EasyPayments to deal with these invoices. EasyPayments will be able to pull the information out from MYOB relating to the open sales for these customers and compile a statement that you can send to the head office.
The next part is how do you deal with a cheque from your head office to cover all the customers? This can be difficult due to the fact that recording payments against various customers from one cheque can be tedious.
